Bullet-points and Committee structure from Saturday November 4, 2006, Workshop

Hi everyone,

First off, thank you so very much for taking time out of your busy lives to attend Amber's informational and work on the committee structure! I hope we can all see it as a very good start. For those of you who were unable to make it, please feel free call or email me if you have any questions.

As we agreed, these retreats/meetings are very important for Board development. The consensus of the Board is to hold them every other month for now. Our next retreat will be in January 2007, either Saturday the 6th or Saturday the 13th, depending on your schedules. Let me know, as soon as you can, which of these dates work best for you. This will be a shorter follow-up meeting to evaluate the effectiveness of our Outreach and Committee work, discuss proposals for Big Sunday, and will be a breakfast or lunch meeting at the Celebrity Centre.

I've included in italics under Committee assignments another Committee, a Renters Issues Committee. Other than that, I think all Board Members who were elected to certain Seats are now on Committees representing them, ie Non-Profit/Social Services, Education, Business and now Renters. Homeowner/Geographical and At Large Seats should brainstorm in the Outreach sessions before each Board meeting how best to involve and conduct outreach to their districts/neighborhoods and groups.

Here are the bullet-points from Saturday..

It was agreed by consensus that Outreach is the responsibility of each Board member and that each Committee will come back to the next full Board meeting on November 20th with a Mission Statement including when, how and where for outreach, and 3-5 bullet-pointed goals. Written updates will be submitted each month to the full Board for follow-up and assistance in outreach.

It was noted that the City Charter specifically states the following as the mandate for Neighborhood Councils:

“to promote Public Participation in City Governance and decision-making processes so that the Government is more responsive to local needs and requests and to foster a sense of Community for all people to express ideas and opinions about their Neighborhoods and Government.”

It was thus agreed by consensus that all stakeholders who attend a meeting of any HUNC-sponsored Committee shall be considered members of that Committee with rights to vote. It was agreed by consensus that each Committee when sending recommendations back to the full Board shall submit for the record both a pro and con vote summary in writing.

We’ve asked for an Assistive Listening Device and translators in Spanish and Armenian for every full Board meeting. If you would like those for your Committee meetings just contact Amber. We’ve inquired about babysitting possibilities, and Amber will explore that for us. We discussed the consideration of Self-Evaluation re: Diversity and Representation. We asked Amber to procure copies of the Blue ADA Accessible Meetings/Event Planning booklet so that each Board member will have one.

We selected our 2 Mayors Budget Representatives but Ann has declined. So our Representatives are Norma and Gary (who was the alternate). We decided that we want to participate in the January Regional Budget meeting to be hosted by the Mayor's office and DONE. We decided we needed more information on the 'independent' NC-hosted regional meeting before making a decision on participation.

We requested Financial Training for the entire Board, and Amber and I will follow up with that.
